As of January 1, 2019, all ‘vacancies’ for permanent full time faculty[1] need to include the following information incorporated into a cover sheet and attachments in the Vacancy Notice eDoc.
These are things you need to affirm are taking place (check the boxes):
Search committee:
- Has at least 3 members
- Members are diverse
- Chair and committee members have received or will receive guidelines and training for appropriate and effective search techniques.
- If you are unsure about training or how to access it, check “No” and Gina Gibau will contact you.

Explanation: Limited Search
This is only necessary if the search type is something other than “Full National”.
Briefly explain the reasoning for not choosing a national search.
For example:
- Experience with past searches shows that ‘local’ searches yield strong diverse pools of candidates.
- Position is temporary (but not visiting), e.g. a lecturer in a program that is undergoing change.
Explanation: non-use of HERC
This is only necessary if on the PeopleAdmin position page you are not going to check “HERC”.
HERC, the Higher Education Recruiting Consortium, is an option on the PeopleAdmin position page. IU pays for all postings to this source, and it is designed to reach diverse populations.
Search Process:
Explain best practices used to work towards an inclusive search process and diverse hiring pool, such as diversity in the search committee, search education, and implicit bias awareness education. Include information from the school’s diversity or OEO action plans; note specific actions related to marketing plan or advertising venues.
Position Description:
(same as appears in the textbox in the e-doc lite)
Ensure that this contains the required diversity language.
What will happen:
If you indicate you need assistance with any step, or the steps seem to be too limited to reflect best search practices, Associate Vice Chancellor for Faculty Diversity and Inclusion Gina Sanchez Gibau will reach out to you.
Once AVC Gibau has reviewed the information and made contact, as needed, with the hiring department, the Vacancy Notice eDoc will be approved by Office of Academic Affairs.
[1] Positions that do not require offers to be approved by the EVC are not included: post-docs, visiting, and research. Schools may use edocs and PeopleAdmin for these searches but they do not need the coversheets nor attachments. School of Medicine will use their own PeopleAdmin process and approvals.
