According to IU Policy, faculty members should notify their units of resignation plans no later than “May 15 or 30 days after receiving notification of the terms of continued employment the following year, whichever date occurs later.” (ACA-52 Permanent Separations of Academic Appointees)
However, that does not always happen.
For 10-month faculty members
If they are teaching a class during summer
Terminate their regular faculty appointment at the end of the term in which they are teaching.
They do not receive pro-rated, partial, or any part of August regular-faculty salary.
That is, they will receive payment for the course, but not their first (of ten) month’s regular salary.
If they are not teaching during the summer
Their appointment terminates as of May 30th. If they notify you of their intent to resign in June or July, make sure they understand the termination date and that they have 60 days from that date (from May 30th) to arrange for COBRA coverage.
For 12-month faculty members
Review their teaching expectations for the summer. As a matter of obligation, summer teaching belongs to the prior academic year: that is, if someone has a load of 4, 4, and 1, that “one” completes the obligations of the previous academic year’s load.
- Terminate their appointment as of the end of the month in which the last teaching occurs.
- If their summer assignment is in summer II, and they resign before they teach that course, review if they did work during June. If not, terminate their appointment as of May 30th (the last day of the last month in which they did work).
Faculty who have non-teaching assignments in the summer should be advised to complete a whole month for their resignation date. They cannot receive a payout of ‘vacation’ days so should be encouraged to take a pro-rated amount of vacation before departure. (e.g. if resigning as of July 1, taking 11 (of 22 total) vacation days).
