Offer Guidelines

Guidelines for Extending a Tenure-Track Offer(also Lecturer and Clinical Track)

  1. Submit offer packet to Katy Reiter, to include draft of offer letter, candidate's vita, and at least three reference letters. (Units may find it helpful to use the offer letter template included with these materials).

  2. Packet will be reviewed by Dean of Faculties and Chancellor.

  3. Unit will be notified by Katy of disposition.

  4. Unit should notify Katy if offer is NOT accepted.


Guidelines for Extending an Offer with Tenure

  1. Consider if the candidate is at associate or full rank, and comes from a comparable or better research institution, and whether or not the candidate has been through a tenure review process successfully.

  2. If the answer to all questions in #1 are yes, then compile an offer packet as for a tenure-track offer, but three additional letters of reference are required - these should be requested by the chair, dean or search committee independent of suggestions by the candidate. A letter template is included with these materials which is appropriate for an offer with tenure, and units may find it helpful to use this as a guide.

  3. The candidate must be scheduled for an interview with Executive Vice Chancellor Sukhatme, or alternatively with Associate Vice Chancellor Mary Fisher, or with Chancellor Bantz, preferably at the time they are on campus for other interviews or presentations - PRIOR to offer request.

    If the candidate is being hired into an administrative position, additional considerations must be addressed in the offer letter. Such individuals are usually hired into an administrative role in conjunction with a faculty position. It must be made clear in the letter how much base salary is for the faculty role and how much is for the administrative duties. Alternately, you may wish to pay an administrative supplement for all or part of the administrative duties, and if so, it should be noted that retirement benefits are not paid on any supplemental component of compensation.

    It must be stated clearly that the appointment to the administrative role is at the pleasure of the relevant administrator: if a chair, then the school dean; if a dean, then the Chancellor. Additionally, wording similar to the following should be added:

    If your administrative assignment should conclude for any reason, your salary will be adjusted by removing the "administrative" portion of your salary, so that you will be compensated at the faculty base salary noted above.*** Additionally, if your full-time administrative assignment should conclude for any reason, the Relevant Administrator will assign you such new faculty work as is consistent with the policies of the school in effect at that time.

    *** if the appointment will change from 12 to 10 month in this situation, that should also be clearly stated.

    Finally, the issue of administrative review should be addressed, and for those not subject to the five year review procedure (i.e., chairs), a statement such as "Your performance as _____________ will be periodically reviewed consistent with the policies and practices of the unit" should be included.

  4. If the candidate is not coming from a comparable or better research institution, and/or has not previously been through a successful tenure review, then an expedited tenure review process will be conducted as part of the offer approval process:

    a. The offer packet itself should include, in addition to the vita, and the draft offer letter:

    i. at least six independent letters of reference, all requested by the chair, dean or search committee, without suggestion by the candidate.
    ii. Personal statements (limited to one or two pages only) by the candidate on teaching and on research.
    iii. Evaluations of teaching, if available
    iv. Report of a vote of the unit faculty on extending the appointment with tenure.


    b. This packet will be reviewed by the department (if applicable) and school P&T committees, the chair (if applicable), and the dean. Votes of committees, and letters of recommendation from all parties in this process will be added to the dossier.
    c. The dossier will then be reviewed by two or three senior members of the current campus P&T committee, and their recommendation forwarded with the dossier for review by the Dean of the Faculties and the Chancellor.
  5. The unit will be notified when they may extend the formal offer (or of any problems).

  6. The unit should contact Katy Reiter if the offer is NOT accepted
